Learning Agreement
A Learning Agreement is an official document that is concluded between students, their home university and the host university abroad before studying abroad. It regulates in detail the courses to be taken abroad and ensures that these are later integrated into the degree programme and recognised.
The EU Commission has obliged all European universities to introduce ‘ERASMUS Without Paper’. This goes hand in hand with the obligation to digitise central processes in the ERASMUS programme. The creation of learning agreements is one of the processes that must be digitised. Unfortunately, not all European universities are yet ready to process learning agreements online. We ask for your understanding in this matter with regard to our partner universities.
Procedure
- You consult with the departemental coordinator (see letter of acceptance) about possible courses at the host university and whether/in what scope they can be recognized for your studies here.
- Clarify whether your host university uses the ONLINE Learning Agreement.
- Read the Step by Step Guide!
- Fill out the Learning Agreement (LA) yourself (digitally) after consulting with your coordinator and sign the document (digitally). The programme coordinator will be automatically notified by the system that a document is available for approval. As soon as your coordinator has approved the LA, the host university will be automatically informed that an LA is available for approval. PLEASE NOTE: Not all host universities are already connected to the system. If your host university does not use the OLA, download the signed document from the system, send a scan to the host university, and ask them to sign and return the LA.
- Download the fully signed document from the system and send it to erasmus.out@uni-trier.de
If you wish to make any changes to your courses during your studies abroad, you must update the LA (Learning Agreement Changes) and have it signed again by your home university and the host university (so that all parties are always up to date).
Learning Agreement Changes (LA 2)
Please note: If you have completed an Online Learning Agreement and all parties have approved the OLA 1 in the system, please use the ONLINE platform again to complete the Learning Agreement Changes; if this is not the case, please use the paper version:

- Please ensure that the certificate clearly states the period of time you spent studying abroad in the host country.
- As a general rule, funding can only be paid if your stay at the host university lasted at least 60 days. If your stay was shorter than this, the grant must be repaid in full.
The form:
- You can use the form from the Trier University or one from the host university.
Submission:
- Electronically: We can only accept the document in electronic form if it can be verified online or is sent directly from the host university to the International Office of the University of Trier (i.e. scans forwarded by you without verification options will not be accepted).
- Paper version: Only originals, certified photocopies or documents with a verification code will be accepted; uncertified copies, printouts or similar are not sufficient.
- If you have completed a preparatory language course in the host country and its duration has been included in the grant agreement, please also submit the original certificate of attendance.
